  • Overview

    JOB PURPOSE:

     

    The Systems Specialist will be responsible for on-going management of the salesforce.com instance and the underlying data warehouse reporting, including accuracy and completeness of information (ZIS, ZBIS, Rebate Tool). This function will collaborate with functional business users and the Salesforce development team to implement changes or new functionality to improve the CRM system. The Systems Specialist will collect requirements from the business, analyze the requests, provide possible solutions and coordinate the implementation with the CRM Administrator and the IT development team. Key to this role will be the flexibility to work with customers both internal and external on a recurring periodic basis to streamline the reporting of the information and accurately validate activities. The Systems Specialist, with the support of the CRM Administrator, will manage the maintenance of a customer transactions database to support CRM data mining and reporting.  This role will oversee salesforce.com with territory alignment, customer visit optimization, monthly and quarterly sales results, regular customer data audits, KPI reporting and other ad hoc requests.

     

    PRIMARY RESPONSIBILITIES:

     

    • Administration of the Salesforce CRM system including User and Authorization management, document and file administration, workflow management and mass Email template distributions.
    • Act as the Salesforce subject matter expert and trusted advisor for all internal users
    • Manage, maintain, and ensure accuracy and completeness of a CRM data repository of customer sales transactions and customer data.
    • Drive Lead/Prospect functionality in SalesForce, including development, in conjunction with Marketing
    • Lead the refinement and improvement of the current data repository working directly with Accounting and IT
    • Collaborate with the CRM Administrator to ensure the CRM system updates are complete and correct
    • Serve as back up for CRM Administrator
    • Create and maintain training documentation, and perform regular user training

    Rebate Management

    • Manage the overall process of rebate calculation and payment with the support of an analyst
    • Own the rebate tool, its processes and work toward higher degrees of automation
    • Partner with Finance Analysts to create processes to support analysis of new rebate loyalty programs, including Buy Groups
    • Partner with internal resources to create streamlined processes for more rapid rebate implementation 

    Information Analysis

    • Conduct both template-based analysis and reporting as well as ad-hoc analysis of the customer reported information to identify inconsistencies and inaccuracies
    • Identify, own, and implement improvements over our current as-is practices to increase performance of the organization, enabling our sales teams to better engage with customers in the field

    Reporting

    • Develop recurring reports, updating on a weekly and monthly basis, and distributing the information to key internal and external decision makers
    • Identify, develop, and recommend new reports to address new needs and emerging trends in the sales transaction information
    • Conduct ad-hoc analysis of the data to support CRM pursuits (mailers, direct marketing, customer based surveys, etc.)

     

    QUALIFICATION REQUIREMENTS:

    1. A university degree in Business Management or Information Systems, or equivalent work related experience
    2. 5 - 10 years of experience in CRM system analysis (SalesForce.com) with the ability to analyze processes and data flows to improve efficiency and accuracy of the system.
    3. Understanding of Microsoft SQL server database technologies
    4. Strong project coordination skills; ability to coordinate multiple projects and priorities with varying degrees of complexity; resourceful problem solver;
    5. Must be detail oriented, striving for accuracy in all processes
    6. Excellent interpersonal, verbal and written communication and computer skills; ability to interface with a variety of people of diverse expertise.
    7. Knowledge of sales and marketing processes
    8. Solid work ethic and “can do” attitude is a must.
